- Account Information: Farm name, full name, email address, phone number, and password when you register
- Profile Information: Profile photo and any updates you make to your account details
- Farm Data: Flock records, batch details, shed configurations, feed inventory, egg production logs, vaccination schedules, sales records, financial data, and all other operational data you enter into the Platform
- Staff Information: Names, email addresses, roles, departments, and permissions for staff accounts you create
- Payment Information: Payment transactions are processed by SafeHaven MFB. We do not store your full payment card details; we receive a transaction reference and status confirmation only
2.2 Information Collected Automatically
- Usage Data: Pages visited, features used, actions taken, and time spent on the Platform
- Device Information: Browser type, operating system, IP address, and device identifiers
- Log Data: Server logs including timestamps, error reports, and request details
- Authentication Tokens: Secure tokens stored locally on your device to maintain your session
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service
- Process subscription payments and manage your billing
- Send transactional emails (account confirmation, payment receipts, password reset)
- Send in-app notifications relevant to your farm activity (alerts, reminders)

- Monitor and improve Platform performance, reliability, and security

We do not use your farm data to train machine learning models or sell insights derived from your data to third parties.

4.1 Service Providers. We work with trusted third-party providers who assist in operating the Platform, including:
- SafeHaven MFB — payment processing
- Cloud infrastructure providers — hosting and data storage
- Email delivery services — transactional and notification emails
These providers access your information only as necessary to perform their services and are bound by confidentiality obligations.
4.2 Legal Requirements. We may disclose your information if required to do so by law, court order, or governmental authority, or if we believe disclosure is necessary to protect the rights, property, or safety of PoultricHQ, our users, or the public.
4.3 Business Transfers. In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you via email or in-app notice before your data becomes subject to a different privacy policy.
4.4 With Your Consent. We may share your information with third parties when you explicitly instruct us to do so.
5. Data Storage and Security
Your data is stored on secure cloud infrastructure with encryption in transit (TLS) and at rest. Each farm’s data is logically isolated — no other farm operator can access your records.
We implement industry-standard security measures including access controls, audit logging, and regular security reviews. However, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security, and you use the Service at your own risk.
6. Data Retention
We retain your farm data for as long as your account is active. If you request deletion of your farm, your data is scheduled for permanent deletion after a grace period (typically 30 days) during which you may cancel the deletion request. After permanent deletion, data cannot be recovered.
We may retain certain information for longer periods where required by law, for fraud prevention, or to resolve disputes.

Depending on applicable law, you may have the right to:
- Access the personal information we hold about you
- Correct inaccurate or incomplete information
- Delete your account and personal data
- Object to or restrict certain processing of your data
